n8n connects the separate pieces of software in your business to each other and automates the repetitive manual work between them. Before you learn how to install it, you should know which problem it solves and whether your business needs it right now. That’s what this piece covers, not an installation guide.

What exactly is n8n and what does it do?

It works like connecting a few blocks together. The first block watches for an event, say a form gets filled in or a message arrives. The next block does something with it, say saves the details somewhere. The last block produces a result, say sends a text message or an email. A chain of blocks like that is called a workflow. The difference from writing a program from scratch is that you don’t have to write code line by line, because these blocks come ready-made and you’re only arranging their order and logic.

Two things set n8n apart from similar tools like Zapier and Make. First, it’s open source and what’s called fair-code, meaning you can install it on your own server and keep all the data with you rather than on a foreign company’s servers. Second, it’s more flexible, and where a ready-made block falls short you can drop in a small piece of code right there. Those two features have turned n8n from a fringe tool into a serious player, to the point that this German company, which started in 2019, reached a 2.5 billion dollar valuation in a funding round in autumn 2025, and by its own account its user count had grown sixfold over that year.

Which problem does it solve?

Almost every business that grows a little reaches a point where it has several different pieces of software that don’t talk to each other. An order comes in on the site, but somebody has to manually carry the details into the warehouse spreadsheet, then send a message to the team members on Telegram, then enter the customer’s contact details into the SMS panel so the confirmation goes out. That person is effectively acting as glue between the software, and human glue is slow, tiring and full of errors, because they only have to lose focus once for an order to be missed entirely.

What n8n does is take that person’s place and automate the manual back-and-forth between the software, so your people can spend their time on the work that needs thinking and judgment rather than copying information.

Why it fits an Iranian business particularly well

Foreign tools like Zapier usually charge in dollars, either monthly or per execution, which raises both the problem of paying in dollars under sanctions and the problem of your bill climbing as your volume grows. You can install n8n on a local server, pay for it in rials, and however many workflows you add, your running cost doesn’t climb. That’s why almost every Iranian cloud provider, Liara and IranServer among them, offers a one-click n8n install, which is itself a good sign that the tool has taken hold locally and you won’t be on your own setting it up.

When is it not for you yet?

Automating a bad process only makes that bad process run faster and at a larger scale. Picture an Instagram shop where you still have no defined path a customer travels from first message to purchase, you answer every order differently and record none of it. If you go and set up n8n in that state, you’re automating the mess, and a few weeks later you have a pile of workflows where you don’t know what connects to what or where the problem is. The tool is always the last step. Your process has to be clear on paper first, and then n8n automates that clear process.

Three signs say it isn’t time for n8n yet:

  1. You don’t have separate tools that need connecting. If everything lives in your head or in one notebook, there’s nothing to connect yet.
  2. Your processes change every day. Until a task settles into a fixed shape there’s nothing to automate, and you’d be rebuilding the workflow every time.
  3. Your real pain is somewhere else. Say you don’t have enough customers, or your product hasn’t landed yet. Automation cures neither, and it only pulls your attention away from the real problem.

If you’ve ruled out all three and you can see several tools with a person working manually between them, doing the same thing the same way every time, that’s exactly where n8n pays you back most, and every hour you put into it comes back multiplied.

Wrapping up

n8n is a powerful tool for connecting separate pieces of software and automating repetitive manual work, but it replaces no missing part of your business. If your sales are struggling, n8n won’t cure that, it will only speed up the messaging between departments. So before you spend time learning the tool itself, make sure the real pain in your business genuinely is manual work and poor coordination rather than something else. If you conclude that it is, my n8n tutorial from scratch walks you step by step through where to start.
